Information we collect

Depending on your interaction with us, we may collect your name, email address, telephone number, residential or billing address, requested travel dates, number of guests, communications, signed agreements, invoice information and limited payment records such as transaction status, amount, card brand and the last four digits of a card.

Do not send full card numbers or card security codes by email or through a Tradewinds inquiry form.

How we use information

• Responding to inquiries and confirming availability.
• Preparing quotations, rental agreements, reservations and invoices.
• Providing guest, concierge and property-management services.
• Processing payments, refunds, disputes and accounting records.
• Preventing fraud, protecting guests and properties, and meeting legal or regulatory obligations.

Payment security

Tradewinds does not ask customers to enter card numbers or CVV security codes into this website. Where card payment is available, Tradewinds provides a secure invoice or payment link operated by its payment provider and acquiring bank. Sensitive card information is submitted directly to that provider and does not pass through or remain on Tradewinds’ website servers.

Tradewinds may receive non-sensitive transaction information needed to match and administer a payment. If a provider-supported wallet, recurring invoice or stored-card service is used, the payment provider—not Tradewinds—stores or tokenizes the card credentials under its own security and privacy controls.

Service providers and disclosure

We may share information only as reasonably necessary with property owners, villa staff, approved service providers, professional advisers, website and communications providers, payment providers, acquiring banks, fraud-prevention providers and public authorities. These recipients may operate in the Turks and Caicos Islands or other countries.

We do not sell personal information.

Retention and safeguards

We retain information only for as long as reasonably necessary to administer the inquiry or booking, provide services, keep accounting and contractual records, resolve disputes and satisfy legal obligations. We use administrative and technical safeguards appropriate to the information we hold, but no method of internet transmission or storage can be guaranteed completely secure.

Website technology

Our hosting and communications providers may process basic technical information such as IP address, browser type, device information, timestamps and security logs to deliver and protect the website. The current public site does not use advertising cookies or sell browsing data.

Your choices and contact

You may ask to access, correct or delete personal information, subject to contractual, accounting and legal retention requirements. You may also ask questions about this policy or the security of a payment request.
